A postage meter can simplify the preparation of outgoing business mail. But choosing the equipment is only one part of the decision. You also need to understand how the proposed purchase, rental or lease arrangement will work.

Before committing, compare the full cost, included services and flexibility of each available option.

Start with your mailing workload

Review a typical month of outgoing mail. How many items do you send? Are they mostly standard letters, or do you regularly process larger envelopes and mixed weights?

Also consider busy periods. A machine that suits an average day should still be practical when statements, notices or marketing campaigns are due.

FP Mail’s postage meter range includes options for smaller mailing workloads, along with PostBase configurations offering features such as automatic feeding and departmental accounting. Availability depends on the selected model and configuration.

Compare the total cost

An upfront purchase price and a monthly payment are not directly comparable until you know what each includes.

Ask for a written breakdown covering:

  • Equipment and installation.
  • Rental or finance payments, where applicable.
  • Ink and other consumables.
  • Maintenance and service support.
  • Software, connectivity and rate updates.
  • Any applicable account or administration fees.

Keep postage expenditure separate from equipment costs. Ask how postage credit is funded and whether any related charges apply.

Understand the agreement

If a rental or lease option is offered, check the minimum term, payment conditions and what happens at the end.

Can the agreement be extended? Is the equipment returned? Is there a purchase option? What happens if your business closes, relocates or sends less mail?

For an outright purchase, ask which ongoing services or agreements are still required. Ownership alone does not explain the complete operating cost.

Check support and servicing

A mailing deadline is a poor time to discover that support is excluded.

Ask who provides assistance, how faults are assessed and whether parts, labour and call-outs are included. Confirm the warranty and service arrangements in writing.

Training also matters. Staff should understand how to select the appropriate postal service, check item details and manage postage credit.

Allow for changing mail volumes

Consider whether the proposed setup can accommodate growth without an unnecessary jump in cost.

Ask about upgrade options, compatibility and any changes required to the existing agreement. If mailing volumes are declining, a smaller configuration may be the more practical choice.

Choose an arrangement that fits

The best option depends on your cash flow, mailing requirements and the terms available. A clear quotation makes it easier to compare alternatives and avoid surprises.
